EXECUTIVE ROLES


​As part of the Carisbrooke PAC Executive, members are asked to attend both Executive and General CPAC Meetings during the school year.  
​Executive Meetings are generally held on the 1st Tuesday of the month,
and General Meetings are held four times a year on the 3rd Wednesday of the the month.

 GENERAL PAC EXECUTIVE

All of the Parent Advisory Council Executive shall:
  • Provide leadership.
  • Take initiative.
  • Carry on the Council’s day-to-day business.
  • Consult with, take direction from, and represent all parents of the school.
  • Work as a team to ensure PAC purposes are achieved.
  • Attend all executive, general and special meetings.
  • Be familiar with the Constitution and Bylaws, to carry out their duties as described, and to follow the Code of      Conduct.

​CPAC EXECUTIVE

CPAC Chair shall:
  • Preside at all General, Executive and Special Meetings or notify the Vice-Chair to assume this duty as necessary.
  • Be the official spokesperson and representative for the CPAC, always acting on behalf of the majority of members.
  • Meet with the Principal and Vice-Chair regularly, to discuss/review upcoming events and PAC business.
  • Consult with Council members.
  • Communicate on a regular basis with all Executive members.
  • Ensure that an agenda is prepared and distributed.
  • Appoint committees where authorized by the Membership or Executive.
  • Ensure that the Council is represented in school and district activities.
  • Ensure that Council activities are aimed at achieving the purposes set out in the constitution.
  • Oversee all the volunteers and ensure that activities and fundraisers are in accordance with the school calendar.
  • Be a signing officer.

CPAC Vice-Chair shall:
  • Support the Chair.
  • Meet with the Principal and Chair once a week to discuss/review upcoming events and PAC business.
  • Assume the duties of the Chair in the Chair’s absence or upon request.
  • Assist the Chair in the performance of his or her duties.
  • Accept extra duties as required.
  • Coordinate the Class Reps and assist the Chair in overseeing the volunteers.
  • Be a signing officer.

CPAC Secretary shall:
  • Ensure that members are notified of meetings.
  • Record, file, and post minutes of all meetings.
  • Keep an up-to-date copy of the Constitution and Bylaws, and make copies available to members upon request.
  • Prepare and maintain other documentation as requested by the Membership or Executive.
  • May be a signing officer.

CPAC Treasurer shall:
  • Ensure all funds of the council are properly accounted for.
  • Maintain proper financial records and books of account.
  • Disburse funds as authorized by the Membership or Executive.
  • Draft an annual budget with the assistance of the Executive.
  • Prepare a Treasurer’s Report to present at General Meetings.
  • Submit an Annual Financial Statement at the Annual General Meeting.
  • Prepare and submit funding applications.
  • Prepare and send tax receipts for cash and/or in-kind donations received.
  • Prepare and submit tax and revenue reports to government agencies.
  • Make financial records and books of account available to members upon request.
  • Have the financial records and books of account ready for inspection or audit annually.
  • Ensure that another signing officer has access to the financial records and books of account in the treasurer’s absence.
  • Be a signing officer.

NVPAC (DPAC) Representative/Past-Chair shall:
  • Help smooth the transition between Chairs and assist the Executive in carrying out their duties.
  • Attend all NVPAC meetings and represent, speak and vote on behalf of the PAC.
  • Report regularly to the Membership and Executive on all matters relating to NVPAC.
  • Lead discussions on issues where NVPAC is requiring feedback.
  • Give input to NVPAC on behalf of the CPAC.
  • Receive, circulate and post NVPAC newsletters, brochures and announcements.
  • Receive and act on all other communications from NVPAC.
  • Encourage parent participation in NVPAC sponsored activities.
  • Liaise with other parents and NVPAC representatives.

CPAC MEMBERS-AT-LARGE

CPAC Members-at-Large shall:
  • Provide leadership.
  • Take initiative.
  • Carry on the Council’s day-to-day business.
  • Consult with, take direction from, and represent all parents of the school.
  • Work as a team to ensure CPAC purposes are achieved.
  • Attend all Executive, General and Special Meetings.
  • Be familiar with the Constitution and Bylaws, to carry out their duties as described, and to follow the Code of Conduct.
  • Oversee an area of interest and maintain communication to the Executive regarding that area, which may include (but not be limited to):
    1. Emergency Preparedness
    2. Fundraising ​
    3. Fun Lunch
    4. Out of School Care
    5. Promotional Material
    6. On-line Forms
    7. Social Events/Class Reps 
    8. Crossing Guard & Safety​
          9. Website & Communications
        10. Playground
        11. Language Ambassadors
        

Committee Leaders(not Executive Committee):
  • May include (but not be limited to):  Social Committee, Health Committee, Art/Science Fair, Lunch Time Activities, Fruit and Veggie Program, Gardens, Parent Education, CPAC Inventory
  • Shall report regularly to the Membership and Executive on all matters relating to their committee.
  • Shall follow and adhere to all protocols and communication guidelines – with emphasis on following approval requirements, distribution of documents and privacy policies.
  • Shall provide a budget for approval by the Executive before any spending occurs.
